The Voicemail Whisperer
A support team drowning in voicemails. Customers waiting days. There had to be a better way.
The Situation
A support team was drowning in voicemails. Customers would call, leave a message, and wait days for a callback. Staff spent hours each morning listening to messages, manually looking up customer records, and figuring out who should handle what. By the time someone called back, the customer had often already called again — or given up.
The Fix
I built a system that intercepts voicemails as they come in, transcribes the audio to text using AI, matches the caller ID against the customer database to pull up their full record, and emails the complete context — transcription, customer info, account history — to the right team member. All of this happens within seconds of the customer hanging up.
The Outcome
Response times dropped from hours to minutes. The support team got their mornings back — no more listening to a queue of voicemails and cross-referencing spreadsheets. Customers started getting callbacks before they even expected one. The system handles the tedious work so the humans can focus on actually helping people.
